Professional Placements Officer- 9 month FIXED TERM CONTRACTPertemps are extremely proud to present to you this fantastic opportunity to work for a large educational establishment in Sheffield for a Professional Placements Officer, the role is to provide operational management for the Professional Placements service, ensuring that placement activity is planned and delivered in line with course and Professional, Statutory and Regulatory Body requirements.This role you will work collaboratively to deliver and develop a multidisciplinary, inclusive and responsive service, ensuring operational excellence and consistency of practice within professional placements., and work closely with staff and students to understand and enhance student motivation and engagement withplacements and other work-based learning.Responsibilities:Be responsible for the delivery of a consistent and professional service, providing customer service excellence, aligned to the business plans.Ensure compliance with regulatory frameworks; consider the wider implications to support operational decision making.Contribute to service development and innovation; review and implement processes and procedures for the functional area; prepare and analyse management information; incorporate customer feedback mechanisms and undertake benchmarking to deliver continuous improvement.Working collaboratively across Professional Services, to provide consistent and high-quality service provision; participate in internal/external networks and communities of practice; represents area in project/ working groups and meetings.Embody the establishments values both within and outside the organisation, role modelling behaviour and supporting equality, diversity, and inclusion.Promote equality of opportunity and diversity in the provision of relevant services.Ensure flexibility across Professional Services to accommodate peak periods and adapt to changing demands in service delivery.Support and contribute to annual programme of activities, e.g. Open Days and Information Days etc.Role Specific Responsibilities:
  • To provide management, leadership and expertise to direct line reports, and other staff where required, allocating responsibilities, work planning and managing performance
  • Deploy resources as appropriate, ensure staff work within relevant frameworks and to agreed service standards.-ensure a consistent approach in service delivery and effective use of data management tools-act as point of escalation and referral from direct reports and stakeholders on operational issues
  • To co-ordinate and provide operational management of Professional Placements; oversee a range of systems and processes; taking into account nature, timing and impact across the academic year.
  • To deliver specialist advice/support, based on an in-depth knowledge and understanding of Professional Placements including the systems underpinning them, external requirements and internal policies and regulations as appropriate.
  • To work in partnership with key academic and professional services staff to ensure prevention, early intervention, and timely resolution of issues; provide advice based on knowledge and understanding of service area, internal policies, and regulations.
  • To proactively ensure data quality and integrity across the area, record keeping within an agreed framework; provide local management information to support operational decision making.
  • To provide in-depth guidance and support for a diverse, complex range of queries and ensure efficient complaints management.
  • To be responsible for the development and operation of administrative systems such as:
  • maintain and create enquiry/data management systems and records; inputting, logging, coding, tracking, and cleansing of data
  • retrieve data, collate, and produce MI reports and statistical information
  • administer systems of operation e.g., purchase orders, invoicing
  • assist with the preparation and completion of audits/reviews.
  • To manage a range of events, visits, training, meetings, and appointments e.g., arrange facilities and hospitality; respond to queries, organise communications and mail outs.
  • To assist with sensitive and/ or complex communications and the promotion of activities/services in collaboration with other areas as required.
  • To devise and deliver briefings to promote employability to students and regularly review student feedback to inform action plans, service delivery and promote good practice.
  • To lead the ongoing development of processes and procedures for the area, including guidelines and standards of good practice in the provision and maintenance of information.
Experience Required
  • Experience of leading operational activities in a relevant area/ function and/ or acting as a point of escalation
  • Experience of carrying out a range of complex administration activities
  • Experience of organising, supporting, and delivering events/ projects
  • Working effectively in an environment of complex regulations and procedures (e.g., general data protection regulations / Equality and Diversity)
  • Willingness to work weekends/evenings if required
